Appointments
Appointments can be made via text, phone, email, our website, or social media channels. You will receive a confirmation email/text message upon booking, followed by a reminder email 72 hours before and text message 48 hours before your appointment. If you do not receive these confirmations, please notify us immediately so we can investigate. KYZN Clinic cannot be held responsible if you do not receive reminders and fail to attend your scheduled appointment.
New patients should arrive 10 minutes before their appointment to complete registration documentation. Returning clients should arrive 5 minutes before their appointment to ensure their treatment starts on time.
Accepted payment methods: BACS, online payment, debit/credit card, or cash. Unfortunately, we are not able to accept payment by cheque.
While we aim to provide continuity of care, KYZN Clinic cannot guarantee that all treatments will be performed by the same practitioner.
Our clinic strives to run efficiently and on time, but there may be occasions when we experience delays. If this happens, your practitioner will ensure you are seen as soon as possible.
Card Details
To secure a booking, we require card details. Your information is securely processed and protected by Stripe, one of the world’s largest payment providers. KYZN Clinic does not have access to your full card details.
Consultations
To ensure optimal treatment results, all new patients and those starting a new treatment must undergo a consultation. This will take place on a different day than treatment to allow for a cooling-off period, during which you can consider the information provided. Consultations typically last 30 minutes to one hour.
Once the consultation has been undertaken, a copy of your consultation notes, along with treatment quote will be provided via email.
Consultation fees:
At KYZN, our consultation fees are structured as follows:
All consultation fees are payable at the time of booking and must be paid on account within 72 hours from the time of scheduling to secure your appointment.
If you choose to cancel or not to proceed with your consultation, a refund may be issued; however, a processing fee will apply.
Late arrivals
If you arrive late and your treatment needs to be rescheduled, a £50.00 cancellation charge applies.
If you are more than 15 minutes late, your appointment may be rescheduled, and the late cancellation fee will be charged.
Outstanding fees must be paid before booking any further treatments. If part of a treatment course, one session will be deducted.
Cancellations, Non-Attendance & Rescheduling
Our cancellation policy ensures fairness to both our clinicians and other patients.
We kindly ask if you wish to cancel your appointment, please provide at least 72 hours’ notice within the clinic business operating hours of 9:00am-5:00pm via email, clinic@kyzn.co.uk Should an email be received outside of the clinic operational hours, then the cancelation will be considered by the team on the next working day. Cancellations made with more than 72 hours’ notice will not incur any charge.
Cancellations made with less than 72 hours’ notice, will incur the full invoice amount, although we understand unforeseen circumstances can arise and exceptions will be considered at our discretion.
Should you wish to re-arrange your appointment, then we require 72 hours’ notice.
Non-attendance without prior notice will results in the full invoice amount will being applied.
External Locations
If your appointment is scheduled at an external clinic/ private hospital, then their terms and conditions will be provided to you at the point of confirmation. Please note that their cancellation policy must be followed and failure to do so may result in charges for which you will be responsible.
Medical Questionnaires & Patient Records
We require all patients to complete medical questionnaires before treatment. Your personal information is stored securely in compliance with ICO guidelines and remains confidential. It is your responsibility to disclose any relevant medical history. KYZN Clinic will not be held responsible for issues arising from undisclosed medical conditions.
Health & Well-Being Considerations
Please do not attend your appointment if you are unwell. Many treatments cannot be performed if you are on antibiotics, steroids, or have a cold, fever, cold sore, or infection. If in doubt, please contact KYZN Clinic, and we can advise you accordingly.
Clinic Appointment Changes
Occasionally, we may need to reschedule appointments due to emergencies or equipment failures. While we aim to minimise disruptions, KYZN Clinic will not be liable for any consequential loss due to changes in appointment scheduling.
Right to Refuse Treatment
KYZN Clinic reserves the right to refuse treatment if it is deemed clinically unsuitable or unsafe to proceed, in the best interest of the patient. If a treatment is refused due to undisclosed medical conditions or contraindications, a cancellation fee may apply. If we determine that a treatment is unsuitable for you, we will explain our reasons either in person or via email.
Treatments Requiring Prescriptions
Some treatments require a prescription, which is non-transferable and specific to the named patient. If a prescription has been dispensed and you cancel your appointment, the booking fee will not be refunded. A cooling-off period is provided to ensure you are making the right decision.
Private Prescriptions
All prescriptions at our clinic are issued following a thorough consultation with a qualified medical professional. Treatments are subject to medical assessment, and prescriptions are provided only when clinically appropriate. We adhere to strict safety, ethical, and regulatory standards, ensuring the best care for our patients. Charges may vary.
Clinic Etiquette & Safety
KYZN Clinic operates a strict no-smoking policy within the building.
Please keep noise levels to a minimum to maintain a relaxing environment for all patients.
Mobile phones must be switched off or set to silent while in the clinic.
Children, Chaperones & Pets
Patients bringing children under 18 must also bring another adult to chaperone them, as children cannot accompany you into the treatment room.
If you require a chaperone, please inform us in advance.
Pets are not permitted inside the clinic due to health and safety regulations.
Treatment
Treatment packages/ courses of treatment
Some of our treatments may be offered as part of a course or package. These are designed to be completed within a recommend timeframe, which will be confirmed by your clinician or treating practitioner.
The course/ packages are non-transferable once commenced.
In the event of a cancellation upon commencement of courses/ packages, sessions already used will be charged at the full singles session rate and the remaining balance may be refunded at our discretion. Expired packages will not be credited or refunded.
Aftercare
By signing the consent form and agreeing to these terms, you commit to following the aftercare instructions provided. Aftercare will be explained to you at your appointment and sent via email for reference.
Patient Satisfaction & Complaints
KYZN Clinic is committed to delivering a high standard of patient care. We welcome feedback—both positive and negative—as it helps us improve our service. If you have concerns regarding your treatment, please notify us immediately in person, by phone, or in writing. A review appointment may be scheduled to address your concerns. A copy of our complaints policy is available upon request.
Refund policy/ Should you change your mind. At KYZN clinic, we strive to provide honest, ethical, and expert treatment using high-quality products, but we cannot guarantee individual results. Due to the nature of medical aesthetic and clinical treatments, results may vary. Lifestyle, medical history, individual anatomy/biology and age can all influence treatment outcomes and longevity.
We do not routinely offer refunds, if you change your mind or if treatment results do not meet your expectations as this is always outline and discussed during the consultation and the consent process.
KYZN Clinic will not be liable for economic losses (e.g., loss of earnings) resulting from any treatment.
Deductions for Medication and Equipment
If any medication or equipment has been specifically ordered or purchased in relation to your treatment, the cost of these items may also be deducted from the refund amount.
External Clinical/ Private Hospital bookings
Should your procedure be scheduled at an external clinic/private hospital, then the patient will be liable for any additional fee’s charged, along with stipulated timeframes. These will be advised to you by our administrative team at the time of confirmation.
Non-Refundable Circumstances
No refund will be issued for services already provided. Refunds will not be given for missed appointments or non-attendance without prior cancellation in line with our Cancellation Policy.
Product Refunds
Opened products cannot be refunded.
Unopened products with intact seals may be returned for a refund or exchange within 14 days of purchase, if it is not a perishable product.
Promotions & Pricing
Promotional offers cannot be used in conjunction with other discounts unless stated otherwise.
All treatments, products, and offers are subject to availability.
Prices are subject to change without prior notice.
In the event of pricing errors, KYZN Clinic reserves the right not to proceed with the sale.
